Responsibilities:
The Administrative Assistant- Clinical Services will be responsible for administratively supporting the clinical team.
This position requires travel between Snowline's Diamond Springs administrative office, the Sacramento administrative office and has some opportunity for limited remote work.
Duties include:
Provide direct administrative support for the CCO and DPS in the handling of duties and functions related to clinical operations for the organization.
Assist with clinical scheduling and oversight of PTO requests.
Provides administrative support for clinical departments and staff members, such as Clinical education, Team Coordinators, Bereavement, Quality and Supportive Care.
Prepare correspondence and reports, perform filing and copying as requested by clinical leaders.
Assist in the coordination of clinical meeting schedules, preparing agenda/notes, record meeting notes, track and record attendance.
In compliance with regulations and in accordance with the clinical leadership, create and revise departmental related forms.
Support with data collection, tracking, and reporting for regulatory compliance.
Use discretion and discernment when handling information pertaining to staff and patients.
Support with office supply and clinical supply ordering and budget support.
Assist with clinical policy and procedure updates and maintain policy-tracking mechanism in coordination with other administrative staff.
Support with communication with Snowline answering service and coordinate among staff who support with answering calls.
Act as a liaison between other members of the management team to schedule meetings and distribute information.
Support in the preparation for in-services with clinical staff and community members.
Assist with regular staff communications via phone, email, text, and intranet.
Keep Snowline intranet clinical page content current and updated.
Assist with data collection & report administration for QAPI.
Support Clinical Educator with coordinating monthly HHA CEUs, tracking, and compliance.
Support Clinical Educator with coordination and planning for annual skills day.
Oversee the provision of annual mandatory refresher training.
Provide back-up support for reception, medical records, and/or team coordinators when the need arises.
Take and relay messages in a timely, clear manner.
Support with clinical onboarding/orientation, scheduling, coordination, document tracking.

Requirements
Qualifications:
Four years general office and administrative support experience OR two years general office and administrative support plus an Associate Degree in Business or related fieldOne year experience in a medical office, hospital or medical facility preferred High School graduate or GED required Demonstrated computer skills with extensive experience using Microsoft Word and Excel required.
Medical terminology knowledge strongly preferred.
One year experience working with an electronic medical record preferred.
Ability to scribe team meeting notes with speed and accuracy on a laptop required.
Ability to perform detailed work in a timely manner with accuracy and thoroughnessProven ability to think clearly, logically, analyze issues and use good judgment to carry out responsibilities.
Demonstrated ability to work independently, managing multiple projects while performing work in a timely, accurate, and confidential manner.
Excellent written and verbal communication skills and ability to work harmoniously and cooperatively with a wide variety of people and all levels of staff.
